Import products

Import up to 500 products at once via spreadsheet.

This article is specifically about Rheaply’s inventory management app (root.rheaply.com) and may not be relevant if your organization is not using that functionality.

Import up to 500 products (and one item variant per product), all at once. Perfect for an initial product upload or a warehouse with limited Wi-Fi.

If you already have your inventory organized in a spreadsheet or need to create one while offline, you can save time by importing products to Rheaply in bulk. This workflow allows you to import up to 500 products at once, each with a single item variant. You can add more items after importing.


This article is helpful if:

  • You have a spreadsheet with NEW products that you need to add to your inventory.

  • You need a way to do offline inventorying (either due to poor internet/Wi-Fi or because you’re using a third-party fixed-asset auditor).

Where is it done?

Click the plus (+) icon in the top right, then click Import products

Important:

  • Title and Category are required fields to import.

  • To add images via URL, links must be direct-access links.

  • Import is only for new products, not editing existing ones.

  • Your progress will be saved in your browser (until your cache is cleared).


Prepare and upload your CSV

The import tool is designed to handle flexible data formats, including files where units and values are combined or headers do not match Rheaply defaults.

  1. Click the + icon and select Import products.

  2. Follow the instructions on the screen. You can upload your own spreadsheet or leverage our import template.

  3. Use the tips in the first row of the template OR review the field definitions below to format data correctly.

    1. Optional: For each product, you can include one item variant (more can be added after import). Just fill out any of the item fields at the end of the template. Once you upload your CSV you will be able to edit those fields and include the required location field as well (location is currently not importable via CSV).

  4. Export your sheet as a CSV, then return to Inventory and upload your file (here).

  5. Map the column headers in your CSV to the Rheaply fields listed, then continue to the next step below.


Review, edit, and finalize your import

Once you hit the Review step, you'll have the opportunity to fix any errors, fill in missing data, and bulk edit.

  1. If you have errors, look for the Error Filtering options at the top of the table.

    1. Select Rows with errors to isolate only the items that require correction.

    2. Select Columns with errors to highlight specific data fields that need attention.

  2. Fix any errors and ensure your data was uploaded correctly.

    1. We will attempt to map your values for things like color or finishes to the Rheaply options (example: Maroon --> Red).

  3. Make any final edits. Use the checkboxes to bulk edit specific fields across multiple rows.

  4. When you're ready, click Create products to finalize your import (all products and items will be created/added at this time).


Include photos in your import

You can add photos to your product import by pasting image URLs in the “Images/Photos” column. Learn how to generate direct-access links for your images here: Create photo URLs for imports.

Tips & Tricks 💡

A collection of tips & tricks to help you master the import.

  1. If you have 100 identical chairs in two locations (30 in A, 70 in B), upload all 100 as one variant. After the import, bulk-edit 30 to update their location.

  2. Use tags like "YYYY-MM-DD" to track and group the products for your imports. After import, search for that tag to quickly find and edit those products.

  3. If you're worried about creating duplicate products, go ahead and create those products, because you can just merge them after the fact. Just visit the Duplicate Products page to review potential duplicates and merge them.

  4. Collaborating with others on your import? Make sure everyone reads the field instructions (also included in the first row of the template).


Field definitions

Product title *

Add a title for your product, something easily recognizable by your team. Include the brand and any identifiable features.

Example: "Herman Miller Aeron Chair Black"

Category *

Select the appropriate category for your product from the dropdown.

A category is required in order to create products, but is not required for the upload.

Photo URL

If you have an image URL, you can paste it here. The URL needs to be a direct-access link (learn how to generate these links). Import multiple photos by adding a space between each URL.

Description

Add an overall description of the product. Include information like SKU # or Quote #.

Example: "Wooden table top for conference room."

Manufacturer

Select one option using the dropdown below.

Example: "Herman Miller"

Replacement cost

Enter an estimate of the cost to replace this item with an equivalent new item available on the market today.

Example: "$500"

Weight

Enter a positive numerical value. If no unit is selected, pounds will be used by default.

Example: "45"

Weight unit

Select an option using the dropdown below. Pounds will be used by default if a value has been entered in the cell to the left.

Example: "Kilograms"

Length

Enter a positive numerical value. If no unit is selected, inches will be used by default.

Example: "51"

Length unit

Select one option using the dropdown below. Inches will be used by default if a value has been entered in the cell to the left.

Example: "Feet"

Width

Enter a positive numerical value. If no unit is selected, inches will be used by default.

Example: "48"

Width unit

Select one option using the dropdown below. Inches will be used by default if a value has been entered in the cell to the left.

Example: "Yards"

Height

Enter a positive numerical value. If no unit is selected, inches will be used by default.

Example: "30"

Height unit

Select an option using the dropdown below. Inches will be used by default if a value has been entered in the cell to the left.

Example: "Meters"

Materials

Select one or many options from the attribute list. Separate each material with a comma.

Example: "Wood, Metal"

Colors

Select one or many options from the attribute list. Separate each color with a comma.

Example: "Green, Blue"

Fabrics

Select one or many options from the attribute list. Separate each fabric with a comma.

Example: "Leather, Cotton"

Finishes

Select one or many options from the attribute list. Separate each finish with a comma.

Example: "Coated, Natural"

Uses

Select one or many options from the attribute list. Separate each use with a comma.

Example: "Conference room, Lobby"

Product areas

Select one or many options from the attribute list. Separate each product area with a comma.

Example: "Childcare, Labs"

Tags

Type the tags you want to attach to the product. Separate each tag with a comma.

Example: "New cafe, For decommission"

Performance

Select an option using the dropdown below.

Example: "High"

Warranty length

Enter a positive numerical value. If no unit is selected, years will be used by default.

Example: "12"

Warranty length unit

Select an option using the dropdown below. Years will be used by default if a value has been entered in the cell to the left.

Example: "Months"

Count per item

If your product is often packaged with more than one object, specify the count of those objects. Leave this field blank if unknown.

Example: A box of 100 nails has "100" count per item

Note

Additional information, recommendations, care instructions, etc.

Example: "Suitable for big and tall individuals. Spot clean only."

Model number

Enter a unique alphanumeric identifier assigned by the manufacturer to this product or product line (max 50 characters).

SKU

Enter a unique identifier assigned to this product or product line for internal inventory and retail purposes (max 50 characters).
