Scan to edit items

Learn how you and your team can make edits on the go by scanning QR labels.

This article is specifically about Rheaply’s inventory management app, Visibility (root.rheaply.com), and may not be relevant if your organization is not using that functionality.

Use your mobile device to quickly update multiple items at once by scanning their QR code labels. With Scan to Edit, you can make bulk changes to item details like status, location, and condition while you’re out in the field.


This article is helpful if: You manage physical inventory and need to update or audit item data in the field.

Who can do this? Depends on your user role and which team the item belongs to (see Permissions below).

Where is it done? On mobile, click Actions in the bottom toolbar, then click Scan to edit.


Scan to edit items

  1. Navigate to Scan to Edit: Open the Rheaply app on your mobile device. From the Home screen, tap Actions in the bottom toolbar, then tap Scan to edit.

  2. Choose which item details to edit: You’ll be prompted to select which fields you want to update. You can choose from: Status, Location, Condition, Paid cost, Purchase date, and Age.

    1. Note: any field you leave blank will not impact the original data.

  3. Launch the scanner: Tap Launch scanner to activate your camera. Point it at the QR code label on an item.

  4. Tap to update each item: When a QR code is recognized, tap Edit item. You’ll receive a confirmation message that your changes have been saved.

    1. Keep in mind: your change will be live as soon as you click Edit at this step.

  5. Repeat as needed: Continue scanning and editing items until you’re finished. Tap Done when complete.

  6. See your changes: View the Updated items list to see the finalized list of edits made. From here, you can:

    1. Tap an item to review details

    2. Tap Scan more items to continue editing

    3. Tap Back to start to begin a new session
