Inventory Views

Save, load, and switch between filtered views of your inventory at the product or item level, all from one place.

This article is specifically about Rheaply’s inventory management app, Visibility (root.rheaply.com), and may not be relevant if your organization is not using that functionality.

You can save any filtered, grouped view of your inventory and quickly jump between them. If you’ve used Saved Searches before, all of your existing ones have automatically become Inventory Views — nothing changes, and there’s nothing you need to do.


This article is helpful if: you frequently filter your inventory to find specific groups of assets, you want to switch between viewing your inventory by product and by item, or you used Saved Searches and want to know where they went.

Who can do this? Any user who can view inventory can view and create views. When sharing views, viewers, creators, editors, and admins can only see views shared by users on their team. Global admins can see views shared by any user in your organization.

Where is it done? Inventory.


Access your views

  1. In the upper left-hand corner, next to Inventory, click the dropdown menu. This is where you access all of your different views.

  2. Click a view to load it, or copy the link if you want to share a direct link to that specific view. Only folks from your organization with Inventory access will be able to access the view.

  3. The dropdown shows your five most recent views. To see the rest, click View all views to open a dialog where you can scroll through and select the view you want to load.

  4. From that dialog, you can also copy a view’s link or edit its details - for example, renaming a view - then save your changes.


Switch between product and item views

The Group by toggle lets you switch between:

  • Group by product: each row is a product. A product that contains multiple items folds up into one row (for example, a barstool product with four items shows as a single row).

  • Group by item: each row is an individual item.


Save and update views

Once you’ve adjusted your filters or your Group by setting, you can save your work:

  1. Set your filters and choose how you want to Group by (product or item).

  2. Click “New View”.

  3. Give your view a title (for example, “Flooring Product View”), a description, and then click save. Your new view becomes the most recent one in your dropdown.

When you change the filters or the Group by on an existing view, you’ll have two options:

  • Update view to save your changes to the existing view, or

  • Create a new view from the current filters.

Note: changing the Group by counts as a change to the view, so you’ll be prompted to either update the view or create a new one.


Tips & Tricks

  1. Name views clearly — descriptive names (like “Floor 3 Desks and Chairs” or “Available Items in Bay Area View”) make it faster to find the right view in your dropdown.

  2. Share instead of re-explaining — copy a view’s link to point a teammate directly at the exact filtered list you’re looking at.


Use Cases

  1. Damaged items – filtered by condition of damaged.

  2. Oldest available items – items that haven’t moved inawhile.

  3. Uses report – leverage the Uses filter to organize lists for specific use cases (dining, office, etc.)

  4. Locations view – utilize the Location filter to build custom views based on the locations your team manages.
