Saved Search

Build filtered, shareable, downloadable views of your inventory.

This article is specifically about Rheaply’s inventory management app, Visibility (root.rheaply.com), and may not be relevant if your organization is not using that functionality.

Saved search helps you build dynamic views of your inventory so you can quickly access and take action on the resources most relevant to you. Use saved search to generate a list of specific items or products that you can use to make bulk edits on products or items, and even share with your colleagues!


This article is helpful if:

  • You are managing an inventory audit of items in a specific location, category, or condition.

  • You are managing inventory for a specific location or team, and want a custom saved view of your inventory.

  • You’re looking to create a custom report to be able to consistently download the same filtered views of your inventory for reporting or audit purposes.

Who can do this? Any user with an inventory role can create and view saved searches. For more specifics, see our Permissions section below.

Where is it done? From the Saved searches page in the left-hand menu.


Create a saved search

  1. Click Saved searches from the left-hand menu.

  2. Click Create search.

  3. Add a title and description for your search.

  4. Choose your search type: Items or Products and product sets.

  5. Click Next, then apply filters:

    • Search: Enter a keyword.

    • Location: Choose one or more locations from your organization.

    • Category: Select a category or subcategory.

    • More filters: Filter by color, manufacturer, product area, tags, condition, and status.

  6. Click Save to finish creating the search.

  7. Copy and paste your Saved Search URL to share with other Inventory users in your organization.


Make bulk edits from a saved search

  1. Go to Saved searches and select your saved search.

  2. Switch to List view using the toggle in the top right.

  3. Use checkboxes to select the items you want to edit.

  4. Click Bulk actions at the top of the table, then choose Edit, Delete, or Print label.

  5. For bulk edits, enter the necessary information and click Submit. Changes apply automatically to selected items.

  6. Repeat as needed. Permissions may limit which items you can edit, based on your user role and team.


Download a Saved Search

  1. When viewing one of your Saved Searches click the Download CSV button in the top right (on desktop).

  2. All of the rows in your search should download with all of the available product and item data.
